Print Set-Up for 1099 and 1096 Forms
If you want to print paper copies of Forms 1099 and 1096 on pre-printed IRS forms, you will need to make sure the information prints correctly. You also have the option to print 1099s on blank paper, and can also choose to have Patriot e-File your 1099s and 1096 with the IRS for you, which eliminates the need to print the hardcopy 1096. You only need to set up your print layout if you have purchased pre-printed 1099/1096 forms.
Setting up to print Form 1099:
- In the left menu, go to Settings > 1099 Contractor Settings > 1099/1096 Print Layout
- Select the type of form you want to change in the dropdown, and click “Select.” (There are two different 1099 forms: 1099-NEC and 1099-MISC).
- Click the “Print Sample” link. A sample 1099 on a grid will be created in a PDF.
- Load a blank 1099 form in your printer.
- Print the PDF onto your form 1099.
If the items on the PDF grid don’t exactly line up with your form, you can “nudge” an item on the grid by changing the column and row numbers. Note there are two duplicate sections of fields for the top form and bottom form.
- To move an item one gridline to the right, add 10 to the column number.
- To move an item one gridline to the left, subtract 10 from the column number. You can enter negative numbers.
- To move an item one gridline above, add 10 to the row number.
- To move an item one gridline below, subtract 10 from the row number. You can enter negative numbers.
Print as many sample forms as needed until they print correctly. You do not need to click “Save” while you’re printing sample forms. Once you are satisfied with the placement of items on Form 1099, click “Save.” When you print the forms, these settings will be used, but you can change them anytime as needed.
Setting up your Form 1096 works the same way:
- In the left menu, go to Settings > 1099 Contractor Settings > 1099/1096 Print Layout
- For the Form dropdown, choose “1096 Company Print Layout” and click Select.
- Click the “Print Sample” link at the bottom. A sample 1096 on a grid will be created in PDF format.
- Load a blank 1096 form in your printer.
- Print the PDF on your blank Form 1096.
- Make adjustments as needed, and click “Save” when you are finished.
You are now ready to Create Forms 1099 and 1096.
