Managing Company-Level Workers’ Compensation Codes

Background

Workers’ compensation is a type of insurance that compensates employees who are injured or become ill as a result of performing their job duties.  Each state governs how workers’ compensation insurance is administered. For further information, see What Is Worker’s Compensation

How to Manage Company-Level Workers’ Compensation Codes in Patriot Software

This is an optional feature you can use to keep track of employee payroll dollars by workers comp code.  The codes you use can be reported on to help determine the amount of workers’ comp premium owed to the provider.  After you have added the workers’ comp codes used by your company, you can then assign them at the employee level, and report payroll dollars by workers comp code.  If you are a Next Insurance (formally AP Intego) Pay As You Go workers’ comp customer, adding company-level workers’ comp codes will be required for running payrolls.  For more details, see Pay As You Go Workers’ Compensation Insurance.

To add a new workers comp code for your company:

Settings > Payroll Settings > Workers’ Compensation Settings

  • Click “Add Code.”
  • Select the state from the dropdown menu.
  • Enter the code you would like to use.  
  • Enter an optional description for the code.
  • Unless you are either a Washington or Wyoming employer, the actual premium rates for each code are not stored in the software.  Your workers’ compensation insurance provider will calculate your premiums based on the hours you have reported under each code.  See below for help articles for Washington and Wyoming.
  • Click either Save or Cancel.  

To edit an existing workers comp code, click the Edit icon in that row.  You can now make changes in the appropriate fields for that code.  Click either Save or Cancel.

To delete an existing workers comp code, click the Delete icon in that row.  Note that if this code has been assigned to an employee and a payroll is run, this code will still appear in the Workers Comp Wages Report.
